Terms of Service
These Terms govern your use of Roomery, a subscription service at roomery.co that lets rental property hosts ("you," "hosts") create private digital welcome pages for their guests. By creating an account or purchasing a subscription, you agree to these Terms.
1. The service
Roomery provides software: an admin panel where you enter information about your properties and rooms, and private, link-gated guest pages that display that information. Roomery does not process rent, hold funds between hosts and guests, or act as a party to any lease, rental agreement, or transaction between you and your guests. Payment details shown on a guest page (such as a Zelle number) are informational content that you entered, and payments made using them occur entirely outside Roomery.
2. Your account and your content
You are responsible for maintaining the confidentiality of your login credentials and for everything entered under your account. The content on your guest pages — addresses, WiFi credentials, rent amounts, house rules, local recommendations — is yours, and you are solely responsible for its accuracy and legality. Do not publish content that is unlawful, that infringes anyone's rights, or that you don't have permission to share. We may suspend accounts used for unlawful purposes.
Never store door codes, alarm codes, or similarly critical secrets on a guest page. Guest pages are protected by a private link, but a private link is a convenience measure, not a vault.
3. Plans, properties, rooms, and units
Subscriptions are sold in tiers by number of properties. For these Terms: a property is one address or building; a room is a rentable space within a shared dwelling (rooms are unlimited and included on every plan); a unit is a self-contained residence with its own entrance (an apartment, a unit of a duplex or triplex, an ADU) — each unit counts as a separate property against your tier. We reserve the right to reclassify accounts that represent units as rooms to circumvent tier limits, after notice to you.
4. Subscriptions, billing, and automatic renewal
Roomery subscriptions are billed annually, in advance, at the price shown at checkout for your selected tier and sections. Your subscription renews automatically each year on your renewal date, and the payment method on file is charged the then-current price for your selections, until you cancel. You can cancel at any time through the "Manage billing" portal in your admin, and cancellation takes effect at the end of the paid period (see the Refund & Cancellation Policy below). We will notify you by email before any price increase takes effect on your renewal. Payments are processed by Stripe; Roomery never sees or stores your card number.
5. Changes to the service and these Terms
We may improve, add, or retire features. If we make material changes to these Terms, we'll post the updated Terms here and update the effective date; continued use after changes take effect constitutes acceptance. If a change materially reduces what your paid plan includes, you may cancel and receive a prorated refund of the unused portion of your term.
6. Termination
You may stop using Roomery and cancel at any time. We may suspend or terminate accounts that violate these Terms; if we terminate your account without cause, we will refund the unused portion of your term.
7. Disclaimers and limitation of liability
Roomery is provided "as is" and "as available." To the fullest extent permitted by law, we disclaim all warranties, express or implied, and we are not liable for indirect, incidental, special, consequential, or punitive damages, or for loss of profits, data, or goodwill. Our total liability for any claim relating to the service is limited to the amount you paid us in the twelve months before the claim arose. Nothing in these Terms limits liability that cannot be limited by law.
8. Governing law
These Terms are governed by the laws of the State of California, without regard to conflict-of-law rules. Disputes will be resolved in the state or federal courts located in Los Angeles County, California.
Refund & Cancellation Policy
Cancel anytime, keep what you paid for. Cancel from the "Manage billing" portal in your admin. Your subscription stays fully active until the end of the annual period you already paid for, and simply doesn't renew. We do not charge cancellation fees.
Refunds. Annual payments are generally non-refundable once the term begins, with these exceptions: duplicate or erroneous charges are refunded in full; if we terminate your account without cause or materially reduce your paid plan, we refund the unused portion of your term; and if something's gone wrong, email contact@roomery.co within 14 days of a charge and we'll work it out — we'd rather refund a new subscriber than keep an unhappy one.
Upgrades and downgrades. Upgrading mid-year charges only the prorated difference for the remainder of your current term, and everything renews together on your original renewal date. Downgrades take effect at your next renewal; no mid-term refunds are issued for downgrades.
Privacy Policy
This policy describes what Roomery collects and how it's used. Short version: we collect what's needed to run the service, we don't sell data, and we don't run advertising or tracking.
What we collect
- Account information: your name, email address, and a hashed password (we cannot see your password).
- Property content: whatever you enter in the admin — property details, room details, and the information shown on your guest pages. You control this content entirely.
- Billing: your plan, subscription status, and Stripe identifiers. Card numbers go directly to Stripe and never touch Roomery's servers. Stripe's handling of your payment data is described in Stripe's privacy policy.
- Guest page access: guest pages set a functional cookie on a guest's device so the private link keeps working without rescanning the QR code. We do not use advertising or analytics trackers on guest pages or anywhere else.
- Logs: ordinary server logs and billing-event logs, used for security and troubleshooting.
How it's used
To provide the service, process subscriptions through Stripe, send transactional email (welcome, receipts, password resets, renewal notices), and keep the service secure. We do not sell or rent personal information, and we do not share it except with the service providers needed to operate Roomery (such as Stripe for payments) or where required by law.
Where it lives, and how long
Roomery is self-hosted on our own servers in the United States. Account and property data is kept while your account exists. If you cancel, your data is retained so you can reactivate; you can request deletion of your account and all associated content at any time by emailing contact@roomery.co, and we'll complete it within 30 days (billing records are retained as required for tax and accounting purposes).
Your choices
You can access and edit your content in the admin at any time, cancel through the billing portal, request a copy or deletion of your data by email, and reset your password from the sign-in page. Questions about this policy: contact@roomery.co.
